Approvals Desk
Request and track clear seated-user approvals on monday items and subitems, with flexible rules and a tamper-evident event history.
Installation
No public Marketplace installation link is available. This guide is prepared for a pre-release app and intentionally fails submission readiness until installation and exact released-version evidence exist.
Prerequisites and permissions
Before you begin
- A monday item with the Approvals item view available.
- A seated monday user who can open the board and item.
- Use a non-sensitive test item for your first workflow.
Access
- The requester and selected approver need access to the board and item.
- The requester needs a non-view-only context to start the approval.
- Only the current seated approver can record the documented decision.
First use
- Open Approvals
Open the monday item and its Approvals view.
- Choose the approver
Under monday user, choose a seated user, select Add user, and repeat for any additional approvers.
- Choose the rule
Use Any approver on Free. Standard can use Any, All, or a minimum count with an optional required approver and later steps.
- Start the approval
Select Start approval and confirm the item or subitem shows a pending request and its first current step.
- Record the decision
A current approver chooses Approve, Reject with a reason, or Standard delegation; then review the item timeline and board queue.
Expected result
- The item identifies the current step, rule and effective approvers.
- The timeline records the request, decisions and delegations in order.
- The board queue reflects the current state and can be narrowed to requests waiting for the current user.
Failure recovery
- If the user was not added, choose the person again and select Add user.
- If the directory does not load, confirm access and reload the item view.
- If a decision is unavailable, confirm the approval is pending, you are an undecided effective approver on the current step, and the board is not view-only.
- Do not repeat a decision to recover a missing notification; check the item timeline and queue first.
Privacy and support
Do not send passwords, credentials, tokens, browser storage, or customer data. Use synthetic names and redact screenshots.
Use the Progressify Support portal in Jira Service Management or email info@progressify.com.au. We aim to respond within two Australian business days.
The portal currently uses an Atlassian address and Atlassian sign-in. A custom Progressify domain will replace the public portal address later. Email does not require an Atlassian identity.
Edition and release boundaries
- Free supports one seated-user step on an item using Any approver.
- Standard adds multi-step item and subitem workflows, Any/All/count rules, an optional required approver, templates, manual delegation and supported-region leave cover.
- Automated leave cover is unavailable in IL; manual delegation and the other Standard features remain available there.
- SLA/escalation, external signed links and audit export are not part of the current release. There is no Advanced plan.

Text landmarks until an exact-source capture is approved
- The item view shows a monday user chooser followed by an explicit Add user action and workflow rule.
- Standard shows later steps, templates and delegation controls only when the current role and plan permit them.
- Pending, approved, rejected or cancelled state and the ordered timeline remain visible after the request starts.
